Who we are

The Princess of Wales Hospital (Ely) Charitable Trust (POWCT) is a charity set up to fund essential projects that improve patient care at the Princess of Wales Hospital (Ely). By investing in vital equipment we can enhance the facilities and services provided by the NHS. We receive grants from the general public, business organisations and other charities.

The charity is a registered charity in England and Wales under the number 1205091, our registration number with the Information Commissioner’s Office (IC) is ZB902775. 

This privacy notice explains how we collect, store and use personal information from:

  • Donors who donate through JustGiving, a leading platform for charity giving. through our website www.powelytrust.org.uk;
  • Donors who donate through cash, cheques, bacs and gift aid;
  • Trustees of the charity;
  • Staff and volunteers;
  • Individuals engaged to facilitate the charity’s activities.

This makes the charity a data controller of personal information and the information contained in this privacy notice is provided because data protection law gives individuals a right to understand how their data is used by organisations.

How we collect data

The POWCT has contracted with JustGiving to manage donations through our website. The charity also receives personal data from individuals, businesses and other charities directly. This may be via a donation form, a gift aid form, or simply in the ordinary course of interaction or communication with the individual or organisation whether in person, by email, letter or telephone. We may also make notes when talking to possible donors.

Types of personal data we use

We collect, store and use a range of personal information in connection with donations to the charity. This includes your full name, title, address, email address and telephone number.

If you are a Trustee of the charity we will collect your full name, address, telephone number, email address and date of birth. We will also use your personal data in the course of our communications with you and in order to discharge your Trustee duties.

If you are a member of staff, we may collect:
  • Your full name and title
  • Address
  • Email address
  • Telephone number
  • Nationality
  • Right to work in the UK
  • Employment details
  • Bank account details
  • National Insurance Number
  • Proof of ID or address, e.g. a copy of a passport, utility bill
  • References
If you are a volunteer, we may collect:

Why we need to process your data

If you make a donation, we will process the data to keep a history of your donations, information for gift aid and we will wish to keep in touch with you direct or through a newsletter via email, letter, or telephone, in order to update you on activities undertaken by the charity to further raise funding for the hospital.

Our legal basis for administering this information is:

  • for the charity’s sole purpose of raising funds for equipment and services at the Princess of Wales (Ely) Hospital.
  • to comply with a ‘legal or regulatory obligation’ which means we will process your personal data where it is necessary for compliance with a legal or regulatory obligation that we are subject to.

The potential impact on your privacy is minimal and justified by this end.

Special categories of data

We do not, as a matter of course, collect or otherwise process ‘special categories’ of particularly sensitive data.

How we share your data

The POWCT may need to share your personal data with other third parties, e.g. HMRC.

How we protect your data

The POWCT is committed to protecting your personal information and privacy. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an authorized way, altered or disclosed. In addition, we limit access to your personal data to those individuals and third parties who have a need to know. They will only process your personal data on our instructions and may be subject to a duty of confidentiality.

We do not transfer your personal data outside the UK.

How long we keep your data

We will only retain your personal information for as long as necessary to fulfil the purposes for which we have collected it.

We keep your information for 3 years.

For the purpose of archiving, we permanently archive certain information, including minutes of Trustees meetings.

Your data rights

Under protection law you have certain rights over your information. Under certain circumstances, by law you have the right to:

  • Request access to your personal information known as a subject access request.
  • Request correction of any incomplete or inaccurate personal information we hold about you.
  • Request erasure of your personal information. You can ask us to delete or remove personal information where there is no good reason for us to continue to process it.
  • Object to the processing of your personal information where we are relying on legitimate interests and there is something about your particular situation which makes you want to object to this,
  • Request the restriction of processing of your personal information. This allows you to ask us to suspend the processing of your personal information, for example while you request access to it.
  • Request the transfer of your personal information to another party, and
  • Withdraw your consent for us to use your personal information at any time.
